1. Introduction

RandevuX CRM (“the Application”) provides appointment and business management services. This privacy policy explains how personal data collected through the Application and related services is processed. The party responsible for processing your data is the owner/operator of the Application (“we”, “us”).

By downloading or using the Application, you agree to this policy. If you do not agree, please do not use the Application.

2. Data Collected

2.1 Account and identity information

• Email address, password (passwords are stored in encrypted form)
• Name or display name (optional)
• Login credentials defined by the business for employee accounts

2.2 Business and transaction data

• Business / branch name, address, contact details
• Appointment records (date, time, customer, service, employee, notes)
• Customer information (first name, last name, phone, email, date of birth, notes)
• Employee information, working days, leaves
• Service, room, product, and pricing information
• Sales and payment records
• In-app purchase records (credit packages, subscriptions) and usage data

2.3 Device and usage data

• Device type, operating system, app version
• Screen views and basic usage statistics (for analytics purposes, e.g., Firebase Analytics)
• Internet connection (required for the service to function)

2.4 Optional permissions

• Contacts: Used for importing or matching customers; only if you grant permission.
• Notifications: Appointment reminders and app notifications; shown on your device if permitted.
• Calendar: Synchronization with Google Calendar; used only if you connect it.

2.5 Communication (SMS / WhatsApp)

If SMS or similar reminder/information features are enabled, appointment details and customer contact information (phone number) are processed to provide these services. Message delivery may be carried out through third-party service providers.

3. Purposes of Data Use

• Account creation, login, and security
• Appointment, customer, and business management
• Appointment reminders and notifications
• Processing and verification of in-app purchases (credits / subscriptions)
• Support, feedback, and communication
• Service improvement and analytics (anonymous / aggregated statistics)
• Compliance with legal obligations

4. Data Storage and Sharing

Data is stored using encrypted connections and secure infrastructure (e.g., Google Cloud / Firebase).

Your data may be shared with the following parties to the extent necessary to provide the service:

• Google (Firebase, Analytics, Play): Authentication, database, analytics, and in-app purchase verification
• SMS / communication providers: Only if messaging is enabled and limited to relevant data

Your data is not sold to third parties, except where required by law (court order, request from authorities).

5. Data Retention Period

Account and transaction data are retained as long as your account remains active and as required by applicable legal retention periods.

Upon request for account deletion, your data will be deleted or anonymized, subject to legal retention obligations.

6. Your Rights

• Access and correction: Access your personal data and correct inaccurate information
• Deletion: Request deletion of your account and related data (within legal limits)
• Objection and restriction: Object to certain types of processing or request restriction

7. Security

The Application is not intended for individuals below the legal age limit. We do not knowingly collect personal data from individuals under the age of 16. If we become aware of such data collection, we will take the necessary steps to delete it.

9. Policy Changes

When this policy is updated, the “Last updated” date will be revised. Significant changes may be announced via the application or email. Continued use after updates constitutes acceptance of the revised policy.
